A useful business email often creates more than a reply. It can introduce a new contact, raise a question that needs working notes, or create a task with a due date. Keeping those outcomes visible is a separate responsibility from simply reading the message.

Aiinak Mail includes Tasks, Notes, and Contacts inside the same workspace. This guide explains a practical way to use them together. It does not treat them as separate subscriptions or claim that creating a task automatically delegates it to an AI employee.

Choose what the conversation actually needs#

Before creating records, identify the outcome. Some messages only need a reply. Others need a contact detail corrected, an unresolved question recorded, or a specific piece of work tracked until it is done. Avoid turning every message into several disconnected items.

For an illustrative supplier enquiry, the useful next step might be to confirm an item description tomorrow. The contact record identifies the supplier’s representative, a note holds the question and context, and a task records the action and date. These are examples of how to organize work, not a customer result or a required data model.

1. Check the contact details#

Use Contacts to store the person’s name and the email or phone details you need. Check the details against an authorized source, especially when an address has changed or a message introduces a different person. Tags and favorites can help organize records you return to often.

The app supports a CSV or vCard import flow. Review the imported records before relying on them, and import only information you are authorized to use. Adding an address-book record is separate from sending that person an email.

2. Keep working context in a note#

Use Notes for the question, the context needed to understand it, and any uncertainty still to resolve. Categories, pins, favorites, and archives can help you return to the relevant writing as the work changes.

Keep the note concise enough that another review of the original conversation is still practical. A copied paragraph can lose meaning when the surrounding email thread is missing. Record where the context came from and check your access and sharing options before expecting a colleague to see it.

If the output needs a Word-format document and a formal file-based review, Aiinak Docs may be the better destination. A working note and a completed business document serve different purposes.

3. Make the task concrete#

Write the action in a way that makes completion visible. “Check the supplier’s item description and reply” is clearer than “Supplier issue.” Choose the appropriate project, set a due date if one is needed, and select a priority that reflects the actual work.

Tasks provides board and list views and the states To do, In progress, and Done. Use filters to review the items that need attention. Before moving a task to Done, check whether its outcome happened; a status change does not by itself establish that a customer received the right answer.

4. Keep the calendar and booking responsibilities separate#

A dated task is not automatically an event or a customer appointment. Use Aiinak Calendar to manage events and your agenda. Use Aiinak Booking when someone needs a public page to choose from the appointment availability you publish.

Review the actual scheduling setup and app access before promising an appointment time. The presence of several apps in a suite does not establish that every connection or automation has been configured for your business.

5. Know when the work belongs in CRM or with an AI employee#

An address book is not the same as a customer-management process. If the work involves broader sales or operational requirements, explore CRM through Tellency. Discuss the customer data, modules, and controls that process requires.

An AI employee is also different from a task list. Delegated execution needs supported actions, appropriate permissions, and review rules. Start with one recurring workflow and establish who checks the outcome before automating it.

Start with the workspace that fits the work#

For company operations, create a business workspace and review the apps and allowances included in your setup. A personal identity can be used for sign-in, but a personal inbox alone does not establish a configured company workspace.

The practical goal is a reviewable chain from conversation to context to action. Keep each record useful, avoid unnecessary duplication, and check the actual result before considering the work complete.
